Google Business Profile: The Complete Setup Guide for Shop Owners

How to set up, verify and optimise a Google Business Profile in India — categories, services, photos, reviews and the mistakes that get listings suspended.

For a business with a physical location in India, the Google Business Profile is the highest-return piece of digital real estate available — and the one most businesses leave half-finished. It is free, it appears above the ordinary search results, and it is usually the first thing a customer taps.

This guide is the setup we run for clients, written so that an owner can do it themselves.

What the profile actually is

It is the panel that appears when someone searches your business name, and the map result that appears when they search a service plus a place. It carries your name, category, hours, phone, photos, reviews and services. Google uses it to decide whether to show you in the map pack — the three results that take most taps on a phone.

It is separate from your website. Many businesses rank in the map pack with a weak website, and many with a good website never appear because the profile is incomplete. If you do one thing this quarter, do this.

Setting it up correctly

Step 1: Check whether a listing already exists

Search your exact business name. Old listings, duplicates and listings created by a previous owner or a customer are common. Claim the correct one and request removal of duplicates — duplicates split your reviews and confuse the ranking.

Step 2: Choose the primary category carefully

This is the strongest single signal you control. Be specific and honest. A "Multi-speciality hospital" will not appear for "dental clinic" searches. A "Dental clinic" will. Add secondary categories for the other things you genuinely do, but do not add categories you cannot serve.

Step 3: Complete the services list

Add every service with a name and, where you can, a price. These become tappable chips on your profile and give Google more specific queries to match you against. A services list is not optional decoration; it is a ranking surface.

Step 4: Set the service area or the address, not both wrongly

If customers come to you, use your address and hide the service area unless you genuinely travel. If you go to them, set a realistic radius. Claiming half the state to widen reach is one of the fastest ways to get suspended.

Step 5: Verify

Video verification is now common: you record your premises, signage, equipment and a document with the business name. Prepare for it — clean signage, a visible interior, and a matching utility bill or GST document. A failed verification can be retried, but each attempt costs days.

Step 6: Fill in everything else

Opening hours including special hours, phone, website, a description written for humans, attributes (wheelchair access, payments accepted), and a booking link if you have one.

Photographs do more work than the description

Profiles with real photographs get materially more direction requests and calls than profiles without. What works:

  • Exterior, shot from the road, so a customer recognises the shopfront when they arrive.
  • Interior, clean and lit, showing the space a customer will walk into.
  • The team, actual faces, not stock photographs. People choose people.
  • The work — the dish, the treatment room, the classroom, the finished installation.

Add a handful every month. Google treats fresh, real photographs as a sign the business is active. Photographs with text overlays or stock images add nothing and can look spammy.

Reviews: how to ask without annoying anyone

The best review request is short, personal and immediate. A message on WhatsApp within an hour of service, from the person who served them, with a direct link to the review form. Something like: "Thank you for coming in today. If you have a minute, a Google review helps other people find us — here is the link."

Three rules:

  1. Ask everyone, not only the happy ones. Selectively asking only obvious fans is against Google's policy and looks artificial.
  2. Never offer anything in exchange. Discounts for reviews get profiles suspended.
  3. Reply to every review. Future customers read your replies more carefully than the reviews themselves. A calm, specific reply to a bad review builds more trust than another five-star.

Posts, questions and small signals

Weekly posts — offers, new stock, a festival notice — keep the profile active and occasionally surface in search. The questions and answers section is worth seeding yourself with the five questions customers ask most, answered accurately. Both are low effort and both add surface area.

The mistakes that get listings suspended

  • Adding keywords to the business name ("Sinha Dental Clinic Best Dentist Hajipur") — the most common cause of suspension.
  • Fake addresses, virtual offices or a home address where customers do not actually come.
  • Multiple listings for the same location to cover more searches.
  • Incentivised or purchased reviews.
  • Changing the category repeatedly in a short period.

Recovering a suspended profile can take weeks. It is much easier to avoid than to fix.

Measuring whether it is working

The profile has its own insights: searches that showed you, calls, direction requests, website clicks, and photo views. Track calls and direction requests — those are the ones that become customers. Compare month to month, and be suspicious of a spike that arrives in the same week as a festival.

If you only do one thing this month

Complete the profile: correct category, full services list, real photographs, accurate hours, and a review request sent to the last twenty customers. It is a week of small tasks and it will outperform almost anything else you could spend that week on.
